You’re freelancing on Fiverr, Upwork, or with direct clients. The work is good but you’re drowning in non-billable time: mood boards, brief alignment, asset variations, social media for your own brand. This playbook builds an AI stack that takes those off your plate for $45/month total.
The 5-tool stack
| Tool | Why it’s here | Monthly |
|---|---|---|
| Canva Pro | Brand kits, magic resize, brand voice templates | $13 |
| Adobe Firefly | Commercially safe AI image gen + generative fill | $5 |
| ChatGPT Plus | Briefs, client emails, copy variations | $20 |
| Notion AI | Project tracker + invoice templates + knowledge base | $5 |
| Buffer (free) | Schedule portfolio posts on 3 channels | $0 |
| Total | $43–45 |
The workflow that pays for itself
Phase 1 — Discovery call → brief (was: 2 hrs, now: 25 min)
Record the discovery call (Otter or built-in Zoom recording). Drop the transcript into ChatGPT:
“Extract: brand goals, target audience, design constraints, deliverables, timeline. Then draft a 1-page creative brief in plain language.”
Edit, send to client for sign-off. You’re now an hour ahead of any non-AI competitor.
Phase 2 — Mood board + concept sketches (was: 4 hrs, now: 1 hr)
In Adobe Firefly generate 12 concept variations using prompt scaffolding:
“Modern, minimalist, [client industry] brand mood board. [3 brand keywords from brief]. Color palette: [hex from client prefs].”
Pick 3 directions, drop into a Canva Pro brand kit template. Client picks one. You moved from “I’ll have something Friday” to “Here are 3 directions, which lands?”
Phase 3 — Asset production (was: 8 hrs, now: 3 hrs)
Use Canva Pro Magic Resize to spit out:
- Logo: 5 sizes
- Social: Instagram square, Story, LinkedIn banner, Twitter header
- Web: hero, OG image, favicon
For variations beyond template defaults, Firefly Generative Fill edits the chosen direction without retracing from scratch.
Phase 4 — Client review + revisions (was: a black hole, now: 2 emails)
ChatGPT prompt:
“Client said: ‘[their feedback]’. Translate into 3 actionable design changes I can do in Canva. Then draft my reply that confirms understanding and sets a new deadline.”
This stops the “what did they actually mean” spiral.
Phase 5 — Delivery + portfolio (was: skipped, now: built-in)
After delivery, ChatGPT writes a 3-sentence case study. Drop one chosen asset + the case study into Buffer to schedule across LinkedIn / Twitter / Instagram. Free clients become free social proof.
Cost vs. revenue math
If your rate is $50/hr and this stack saves you 10 hours/week, that’s $2,000/month of non-billable time recovered. You can either:
- Take on 1 extra project per month (revenue +$500–$2,000), or
- Reclaim 10 hrs/week for life
Either way, $45/mo pays for itself in week one.
Picks vs. alternatives
- Why Canva Pro over Figma? Faster for solo designers doing brand work. Use Figma for UX, Canva for marketing assets — they’re not competitors.
- Why Firefly over Midjourney? Commercially licensed by default. Saves you a legal headache if a client publishes the work.
- Why ChatGPT Plus over Claude? GPT-4o still wins for short, specific copy (subject lines, CTAs, social captions). Claude is strong for long-form — not your bottleneck here.
- Why Notion AI over Trello? AI summarization + database views = a CRM, project tracker, and template library in one workspace.
What this stack does NOT do
- Replace your eye for design (you’re still the senior creative)
- Handle 3D / motion graphics (you’ll add Runway or Luma at $30+/mo if needed)
- Negotiate scope creep (that’s a human-skill upgrade, not a tool one)
Upgrade path (when revenue justifies it)
Around $5K/mo billings, add:
- Cursor for landing page work (if you code)
- Runway for motion samples ($15/mo)
- HubSpot Free CRM to track leads beyond Notion
But first prove the workflow at $45/mo for 90 days. You’ll be surprised how far it goes.
